Intermediate phase

The school and parents are a team with the common goal of uplifting the child in our care. In this regard, there are many ways in which you, the parent, can assist, in ensuring that your child derives maximum benefit in achieving their full potential.

1. PROTOCOL

If you have any concerns or queries please adhere to and follow protocol at all times by using the channels as outlined below: The Form Teacher via the message book, Google classroom or school landline number i.e. 031 941 9800 , the HOD, and then the Principal (Mr S Subramoney). Exceptions will only be accepted in the case of emergencies.

2. PARENT CONTACT

The message book and Google classroom is a means for communication between the parents and the teachers. Kindly make the necessary arrangements/appointments via the Message Book or Google Classroom, should you wish to see or speak to your child’s educator. No parent/guardian will be seen to during teaching time, in the morning or after school. Parents/Guardians must always call at the office instead of proceeding to the classroom.

The Google classroom and the Message book is used by Educators to communicate with parents daily.

IT IS ESSENTIAL THAT YOU CHECK YOUR MESSAGE BOOK and GOOGLE CLASSROOM DAILY .

We will use the above for:

• Communicating any minor accidents or injuries that have occurred at school.
• General communication about your child.
• Newsletters or Parent Notices

It is essential that all parents are on the Google classroom. Messages will only be responded to Monday – Friday, 15h00 – 19h00. Allow educators 24 hours to respond. No messages will be responded to in the weekend.

3. DRESS CODE

   The school uniform plays a vital role in the development of school tone, ambience and discipline. Parents are earnestly requested to ensure that the stipulated dress code is adhered to always.The prescribed uniform must always be worn during normal school activities, including weekends and school holidays when attending school programmes, activities and excursions.

Hairstyles:

For boys:  The hair must be of an even length and kept short at all times. Hair styled into spikes, cut into a wedge, bleached or coloured etc. is strictly prohibited.

For girls:  A burqah (head scarf) covering the hair completely must be worn. Long hair needs to be plaited or tied.

4. ABSENTEEISM AND LEAVE TAKING

Attendance to school is vital for the good performance of your children. If your child is absent, please ensure that an absentee note is sent to school, together with a medical certificate where applicable. Telephone the school to give an explanation if your child will be absent for 3 or more days.

Many parents request for leave for Umrah ,etc. However, these planned absences are not advisable. Learners miss out on important learning experiences and often fall behind. Try and plan all vacations and trips overseas during the holiday periods. Learners that do miss an assessment will be given a nil mark and this will have an adverse effect on their result at the end of the year. The school reserves the right to give the learner an average mark if sufficient reasons are provided regarding their absenteeism. This policy will also apply to Islamic studies.

Early leave will not be granted unless in an extreme emergency. Leave will only be granted to the parent of the child unless alternate arrangements have been made with the school. YOUR CHILD WILL NOT BE ALLOWED TO LEAVE SCHOOL IN THE COMPANY OF A MINOR.

Please make all doctor appointments after school or in the weekends as unnecessary disruptions greatly impact on your child’s learning. No Leave taking during salaah time (Monday¾ Friday from 12:45 till 13:15)

5. SCHOOL TIMES

School starts promptly at 07h30 for all grades. Regular attendance and punctuality are an essential component for continued growth and success of your child. Their presence at the morning assembly is important as important announcements are made. It can be unsettling for children who arrive late and we urge you to make every effort to arrive on time. Please note that Salaah will take place in the Musjid between 12h45 and 13h15, Mondays to Thursday, and 12h35 to 13h15 on Friday. Try and avoid leave taking and call during these times unless it is an emergency.

School day ends at 12:00 (Grade RR) and 13:40 (Grade R) from Monday to Thursday. On Friday Gr RR/R finish at 11:45 / 13:30. The school will accommodate those parents that are unable to fetch their child at an additional supervision fee. This will commence from the 29^th  of January 2023.

Should somebody else, other than the usual collector, be collecting your child, please verbally inform either the class teacher or assistant and write this information in your child’s message book. Please note that children will not be permitted to go home with someone other than their parents if this has not been written in their message book. Alternatively, you can call or email the school secretary to advice of any changes to the usual collection of your child.

6. EXCURSIONS

Excursions are linked to the curriculum and allows learners the opportunity to become enriched by experiencing and exploring places outside of the school/classroom. At least 1 or 2 excursions per annum are undertaken. Learners without indemnity forms signed by parents/ guardians will not be allowed to go on excursions or participate in sports.

7. SALAAH & TARBIYA

Encourage your child to join you in reading the 5 daily salaah at home. Quraan/sabak must be read daily. Instill proper etiquettes/manners in all daily activities. Ensure that your child is trained properly for istinjaa. Conduct Taaleem at home daily.

8. LUNCH

The nutrition of your child directly impacts on how well he /she behaves and learns. In order to ensure that your child’s brain and body both develop to the fullest potential, please pack a healthy lunch, preferably sandwich, and a nutritious snack. Ensure that boxes and juice bottles are clearly labelled as these are frequently lost. We do have a tuckshop with snacks sold during the lunch break. Please DO NOT send food parcels during the course of the day as it is both time consuming and disruptive. Learners are NOT ALLOWED to receive meal orders from fast food outlets.

SOME POINTS TO REMEMBER:

• Please choose a box with a lid that they can open and close themselves.
• Please send two different snack boxes if your child is staying for aftercare.
• Please send food that you know your child eats. Examples of food that we see regularly: * Sandwiches * Cheese blocks * Cut up vegetables * Raisins * Pretzels * Cheddars * Healthy biscuits * Cereals bars * Fruit * Dried fruit * Yoghurts (own spoon) * Biltong
• Please do NOT send sweets, cookies, chips, fizzy cool drink, unless they are treats for aftercare.
• Please – NO glass bottles.

9. HEALTH

Please inform the school of any medication taken by student or about any diagnosed medical conditions. The principal should be notified of any domestic situation the impacts on the child. All information will be held in confidence.  On this note….please do NOT send your child to school if he/she is ill. Our primary concern is the health and comfort of all children involved. If your child has been ill, please keep them at home until they have been symptom-free and temperature free for 24 hours. Children need their parents more than ever when they are sick. They do not feel like playing or doing activities when they are sick so they do not cope well at school. Should your child fall ill at school, we will contact you immediately.

10. CHANGE OF ADDRESS

Please notify the school of any change of address or contacts numbers so that our records are kept up to date.

11. CELL PHONES

Learners are not allowed to bring cell phones to school. If a learner is found in possession of a cell phone it will be confiscated and will ONLY be returned at the end of the year.

12. TRANSFERS

Should you require a transfer for your child, please inform the school timeously, by means of written notification so that a transfer card can be prepared. All new admissions into the HSBP Institute of Learning must ensure that they obtain a transfer card from their existing school.

13. CODE OF CONDUCT/DISCIPLINE POLICY

The school has a code of conduct and discipline policy in place for all learners. Your co-operation is required to make them an effective means of rewarding or reprimanding your child. While it may create moments of inconvenience to you as a parent, you are reminded that it also great sacrifices on the part of educators as well. If we always remember that these policies focus on creating better and more responsible individuals, we will more readily accept decisions taken in this regard.

Acceptable behaviour is encouraged in our school by giving positive verbal feedback which reinforces a child’s good feelings about his/her behaviour and serves as an example for the other children to follow. Misbehaviour is avoided by structuring the environment to minimize conflicts, providing children with choices, maintaining a consistent and predictable routine, anticipating problems, giving gentle reminders, injecting humour, pointing out natural or logical consequences. Asking a child to stop and think about unpleasant behaviour enables the child to work at self-control. Should the unacceptable behaviour continue, we handle it in the following way:

• When a child is not co-operating in a group listening situation, the child is seated by a teacher and reminded of acceptable behaviour.
• Removal from the group/play area for a period of ‘time-out’ is also a tactic used for a child who continually demonstrates unacceptable behaviour.
• Time out will always be administered in a positive manner and the child will be given something to occupy him/herself.
• This time-out is not a punishment, but rather a time when the child may calm down and recover some self-control, remember what behaviour the teacher is asking for, and decide for him/herself when he/she is ready to re-join the group with appropriate behaviour.
• Corporal punishment is never used at our school.
• If behavioural problems persist, the parent is asked to attend a meeting to discuss what may be helpful in motivating the child to behave in an acceptable way.

14. SCHOOL FEES

Please ensure that school fees are paid timeously so that we may continue to provide quality education for you child. Direct any queries to the Finance Officer – Farnaaz Aziz and Kiara Maduray. Non-payment could result in the de-registration of your child/ward. All additional fees that are due must also be paid timeously to ensure continuity of service.

15. BIRTHDAYS

It is important to make a fuss of the children’s birthdays. We will have a special birthday ring for them at school and we like to sing to them, each teacher having a unique routine. Should you decide to send anything, we would appreciate it if you could send cupcakes rather than a large cake. We will incorporate this into the birthday ring. It does make the child feel very special. Please discuss this with your class teacher beforehand.

16. EXTRA MURAL ACTIVITIES

The school will be offering the following extra mural activities for 2024:

• Arts and Crafts
• Superfit Kids
• Speech and Drama
• Soccer

17. GRADE R GRADUATION

A Grade R graduation ceremony will be held at the end of the year for those learners who have progressed to Grade 1.

18. ADMISSION FOR GRADE R/RR LEARNERS:

• Grade RR is age three turning four by 30 June in the year of admission;
• Grade R is age four turning five by 30 June in the year of admission;
• Grade 1 is age five turning six by 30 June in the year of admission.

19. PARENT TEACHER CONSULTATION

Parent teacher consultations are held at the beginning of term 2 to monitor your child/ward progress. Should you wish to wish to meet with your child/ward’s educator in term 3 and 4, you may do so by contacting the educator and making an appointment to see her and view your child/ward’s work.
